Trip Rega – Terms & Conditions
1. General Booking Terms
No rooms are blocked at the time of quotation. All bookings are subject to availability at the time of confirmation.
Rates are dynamic and subject to change until full confirmation.
Room holding without payment is valid only for 24 hours.
Guests are advised to confirm bookings quickly to avoid rate or availability fluctuations.
2. Hotel Policy
Standard hotel check-in time is 13:00 hrs and check-out time is 11:00 hrs. Early check-in or late check-out is subject to availability and additional charges.
Unless a specific room category is requested, base category rooms are booked by default. Guests desiring balcony, view rooms, or higher categories must inform at the time of inquiry.
Extra beds in double-sharing rooms are generally rollaway beds or extra mattresses. Kindly inform us before booking if a proper bed is required for all guests.
In hill areas, many hotels do not have TV, AC, Intercom, Wi-Fi, Power Backup, or Lift. Please check before booking if such amenities are essential.
Room heaters are chargeable at most properties.
Many hill hotels and resorts have 2–3 floors or cottage-style layouts without lifts. If there are elderly guests or anyone with mobility issues, please inform us beforehand.
Many hill station hotels, including 3-star and 4-star properties, do not have air conditioning, as it is generally not required.
Meals (if included) are served on buffet/fixed/meal credit basis. Room service or à la carte orders are chargeable.
3. Vehicle & Transport Policy
Air conditioning will not operate in any hilly or parked vehicles. In Uttarakhand, only Dehradun, Haridwar, Rishikesh, and Corbett are non-hill areas where AC may work.
If a full-time AC car is required even on hilly routes, extra charges will apply.
Vehicles are provided as per itinerary only, not on a disposal or unlimited usage basis.
Delhi / Dehradun local sightseeing is not included in packages unless specifically mentioned. These cities cover a large area; extra usage will be chargeable.
Drivers are available for up to 10–11 hours per day. For extended hours or multiple-location visits, extra payment is required.
Vehicle changes may occur due to mechanical issues, and alternate arrangements of similar category will be made promptly.
4. Accessibility in Hill Stations
In Mussoorie and Nainital, many hotels near Mall Road are not accessible by car due to local traffic restrictions. Guests may have to walk or use local transport (at their own cost).
In Mussoorie, bigger vehicles cannot access narrow routes such as Lal Tibba; most drivers will not drive on these stretches.
In Nainital, vehicles cannot go to Zoo Road or Snow View Point; sometimes a local taxi is required due to restrictions on outside vehicles.
Tempo Travellers and large vehicles cannot reach certain hotels or points in Nainital. Please check accessibility before confirmation.
5. Sightseeing & Local Guidelines
Sightseeing points mentioned in itineraries are indicative and subject to time, weather, traffic, and vehicle limitations.
In hilly regions, loud music and late-night driving are restricted by local administration.
Guests are advised to shortlist priority sightseeing places in advance for smoother planning.
Local guides are available at extra cost and are highly recommended for groups of more than 12 people.
6. Group Travel Policy
For groups exceeding 12 persons, it is advisable to discuss daily sightseeing plans with our operations team before or during the tour.
Different guests in a group may have varied interests; hence, itinerary adjustments should be finalized in advance.
Drivers (especially those from Delhi) may have limited knowledge of Uttarakhand interiors; hiring a local guide is strongly recommended for better coordination and experience.
7. Chardham & Pilgrimage-Specific Terms

Extra sightseeing points like Auli, Trijuginarayan, or Lakha Mandal are not included unless specified.
AC will operate only in plains (Haridwar, Rishikesh, Dehradun).
Delays may occur due to Green Card verification at state borders.
In Kedarnath, accommodations are basic lodges or dharamshalas on shared basis due to limited infrastructure.
9. Payment Policy
Leisure / Chardham Packages (below 15 pax):
- 25% advance at the time of booking
- Balance 15 days before arrival
- Hotels remain on temporary hold for 1–2 days only until payment is made
Car Rental:
- 10% advance at the time of booking
- Balance before or at the start of the trip
Group Bookings (15+ Pax): Payment and cancellation policies may vary; please check with our team in advance.
10. Cancellation Policy
Leisure / Chardham Packages:
- 30 days or more before travel – Full refund
- 21–30 days – 5% cancellation charge
- 15–20 days – 25% cancellation charge
- Within 14 days / No Show – Refund applicable only for transport if unused; hotel refunds subject to management approval
- Jungle Safari, Helicopter, Train, and Air tickets are non-refundable
Car Rental:
- 48 hrs or more before trip – No deduction
- 24–48 hrs – One-day cost charged
- Less than 24 hrs – No refund
11. Pricing & Revisions
Prices are subject to revision in case of fuel rate hikes or sudden government tax changes.
If fuel rates increase by more than 5% from booking date to travel date, a surcharge may apply.
12. Communication & Feedback
As a B2B company, Trip Rega generally avoids direct contact with guests.
If you would like us to connect with your client for feedback or coordination, kindly inform us in advance.
13. Advisory for Travel Agents
Discuss the client’s total budget before finalizing packages for best-suited hotel options.
Uttarakhand’s hilly terrain limits large-scale hotels; hence, quality properties are comparatively costlier.
Promoting and selling premium or luxury hotels ensures better guest satisfaction and reviews.
14. Liability & Jurisdiction
Trip Rega is not responsible for any loss, theft, injury, accident, delay, or damage during the journey.
All arrangements are made in good faith and under the supplier’s responsibility.
All disputes are subject to the jurisdiction of Uttarakhand courts only.
